WCP DIRECTOR

  • Tournament Registration, Withdrawal, Credit & Weather Policy
West Coast Premier Fastpitch (“WCP”) is committed to providing professionally operated, well-organized fastpitch tournaments. Tournament preparation requires WCP to secure fields, umpires, staffing, equipment, insurance, awards, scheduling resources, and other services well in advance of each event.
By registering for, entering, or submitting payment for a West Coast Premier event, the team, organization, coach, and/or representative submitting the registration agrees to the following policies.
    1. TOURNAMENT REGISTRATION
Tournament space is limited and registrations are accepted based on availability.
A team is not guaranteed placement in an event until its registration has been accepted by West Coast Premier.
WCP reserves the right to establish payment deadlines and remove unpaid teams when necessary to finalize tournament operations.
    2. TEAM WITHDRAWALS
Teams requesting to withdraw from an event must notify West Coast Premier in writing.
Withdrawal from a tournament does not automatically entitle a team to a cash refund.
Once WCP has committed resources to an event—including fields, umpires, staffing, scheduling, equipment, awards, or other tournament expenses—the team’s entry fee may already have been committed toward operating the event.
    3. TOURNAMENT CREDITS
Unless otherwise specifically stated in writing by West Coast Premier, approved cancellations or withdrawals will be handled through a tournament credit rather than a cash refund.
    Tournament credits,

  • May be applied toward a future West Coast Premier event.
  • Have no cash value and are not redeemable for cash.
  • May not be transferred or sold to another organization without prior written approval from WCP.
  • Must be used within the timeframe established by WCP.
  • Are subject to tournament availability.
  • Credits issued for a specific event do not guarantee entry into another event until the replacement registration is accepted by WCP.
    4. LATE WITHDRAWALS
Once tournament scheduling has begun, brackets have been prepared, an event has reached capacity, or WCP has financially committed to the team’s participation, the team may be responsible for the full tournament entry fee.
WCP reserves the right to determine whether a tournament credit will be issued for a late withdrawal based on the circumstances and expenses already incurred.
    5. NO-SHOWS
A team that fails to appear for a scheduled tournament without receiving prior approval from West Coast Premier may forfeit its entire tournament entry fee and may be responsible for any unpaid balance.
A no-show team may also be required to resolve outstanding balances before being accepted into future West Coast Premier events.
    6. WEATHER & FIELD CONDITIONS
Fastpitch tournaments are outdoor sporting events and are subject to weather, field conditions, air quality, facility restrictions, and other circumstances outside WCP’s control.
West Coast Premier reserves the right to:

    Delay games.

    Shorten game times.

    Change game times.

    Change fields or facilities.

    Modify pool-play or bracket formats.

    Reduce the number of games.

Resume games at a later time.

Cancel individual games or portions of an event.

Make any other reasonable adjustment necessary to complete the tournament safely and efficiently.

These decisions may be made before or during the tournament.

  • 7. GAME CONSIDERED PLAYED
Once a game has officially started, that game will be considered a game played for purposes of determining the number of games completed during the tournament.
A shortened game resulting from weather, darkness, facility restrictions, field conditions, or other circumstances may also be considered a completed game when declared official or terminated by tournament management.
    8. WEATHER-RELATED CREDITS
When weather or circumstances outside WCP’s reasonable control prevent an event from being completed, WCP will determine any applicable tournament credit based on the number of games played and the expenses already incurred in operating the event.
Any applicable credit will be communicated to affected teams following the event.
Unless specifically authorized by WCP in writing, weather-related adjustments will be issued as future tournament credits and not cash refunds.
    9. SCHEDULE & LOCATION CHANGES
Tournament schedules are subject to change.
West Coast Premier reserves the right to modify game times, field assignments, tournament locations, divisions, pool structures, bracket structures, or other operational aspects of an event when reasonably necessary.
A schedule, field, facility, or game-time change does not constitute cancellation of the tournament and does not automatically qualify a team for a refund or credit.
Teams are responsible for monitoring official WCP communications and schedules for changes.
    10. GAME GUARANTEES
When an event is advertised with a game guarantee, WCP will make reasonable efforts to provide the advertised number of games.
Game guarantees are subject to weather, field conditions, facility availability, acts of government or facility operators, emergencies, and circumstances outside WCP’s reasonable control.
Failure to complete the advertised number of games because of circumstances outside WCP’s control does not automatically entitle a team to a full refund.
    11. TEAM FORFEITS & GOODWILL GAMES
Teams are expected to participate in all scheduled games, including consolation, placement, or goodwill games included as part of the tournament format.
A team may not intentionally abandon its remaining scheduled games without authorization from the Tournament Director.
Failure to appear for a scheduled goodwill, consolation, placement, pool, or bracket game may result in a $250 no-show fee and may affect the team’s eligibility for future WCP events.
    12. EVENT CANCELLATION BY WCP
If West Coast Premier cancels an entire tournament before play begins, WCP will communicate the applicable credit or other resolution to registered teams.
Any resolution will take into consideration expenses already incurred or committed in preparation for the event.
    13. FORCE MAJEURE
West Coast Premier shall not be responsible for losses or expenses resulting from circumstances outside its reasonable control, including but not limited to severe weather, natural disasters, wildfire or smoke conditions, government orders, facility closures, utility failures, public emergencies, unsafe field conditions, or other events that prevent or substantially interfere with tournament operations.
WCP will make reasonable efforts to modify, relocate, reschedule, or otherwise complete an affected event whenever practical.
    14. AUTHORITY OF TOURNAMENT MANAGEMENT
The West Coast Premier Tournament Director has final authority regarding tournament operations, including scheduling, field assignments, game formats, weather decisions, tournament structure, and interpretation of WCP tournament policies and rules.
    15. ACCEPTANCE OF POLICY
By registering for, submitting payment for, or participating in a West Coast Premier Fastpitch event, the team and its authorized representative acknowledge that they have read, understood, and agreed to these Tournament Registration, Withdrawal, Credit & Weather Policies.

Teams are encouraged to review these policies before submitting tournament payment.
