Refund Policy
Last Updated: December 8, 2025This Refund Policy explains how West Coast Fastpitch (“WCF,” “we,” “our”) handles payments, credits, and cancellations for all tournaments, showcases, and related events (“Events”). By registering for any Event, you acknowledge and agree to these terms.
1. General Refund Policy
2. Event Cancellation by WCF If WCF cancels an Event before any games are played, teams will receive a credit toward a future West Coast Fastpitch event.
No cash refunds will be issued under any circumstances.
3. Team Withdrawal3.1 Before Schedule Release Teams withdrawing before schedules are published may receive a partial credit only if:

5.1 4-Game Guarantee (4GG) Event A 4GG event is considered fulfilled when 4 games are played, even if weather or field closures prevent additional games.

5.2 6-Game Guarantee (6GG) Event A 6GG event is considered fulfilled when 4 games are played.
Once 4 games are completed, the Event is deemed fulfilled—even though the total guarantee is 6 games—and no refunds or credits will be issued.

6. Fulfillment Rule (Applies to All Events)

8. Schedule, Park, or Format Adjustments Changes in parks, game times, schedules, or event formats due to weather or operational needs do not qualify for refunds or credits.
9. Showcase Coach Attendance College coach attendance is not guaranteed.
Changes in posted or expected coach attendance will not result in refunds or credits.

11. Exceptional Circumstances Special cases may be reviewed individually, but all WCF decisions are final.

- Payment reserves your team’s spot, allocates field resources, and schedules officials.
2. Event Cancellation by WCF If WCF cancels an Event before any games are played, teams will receive a credit toward a future West Coast Fastpitch event.
No cash refunds will be issued under any circumstances.
3. Team Withdrawal3.1 Before Schedule Release Teams withdrawing before schedules are published may receive a partial credit only if:
- The team’s spot is replaced by another fully paid team.
3.2 After Schedule Release Once schedules are published, no refunds or credits will be issued for withdrawal for any reason.
4. Weather, Field Conditions & Unforeseen Circumstances Softball events are subject to weather, city field decisions, and other factors outside our control. Because event expenses are incurred regardless of play:
- No cash refunds will be issued for delays, shortened games, cancellations, or reduced game counts.
- Credits may be issued only when
- the event does not reach its fulfillment threshold (see below).

6. Fulfillment Rule (Applies to All Events)
- Once the fulfillment threshold is reached, the Event is considered complete.
- Weather delays, city field closures, shortened games, or canceled remaining games do not qualify for any refund or credit.
- 4 games = fulfilled for 4GG events
- 4 games = fulfilled for 6GG events
7. Forfeits
- Teams that forfeit any game for any reason (including not having enough players) receive no refund or credit.
- Opponent forfeits do not trigger any refund or credit.
8. Schedule, Park, or Format Adjustments Changes in parks, game times, schedules, or event formats due to weather or operational needs do not qualify for refunds or credits.
9. Showcase Coach Attendance College coach attendance is not guaranteed.
Changes in posted or expected coach attendance will not result in refunds or credits.
10. Credit Usage
- Credits apply only to future West Coast Fastpitch events.
- Credits cannot be transferred or cashed out.
- Credits expire 12 months from the date issued.
11. Exceptional Circumstances Special cases may be reviewed individually, but all WCF decisions are final.
